Instajobs undertake pre-employment checks as a structured, multi-step process designed to ensure that every candidate placed in a role is qualified, trustworthy, and legally cleared to work. The scope and detail of these checks may vary depending on the sector, role, and contractual requirements.
Core Pre-employment Checks
Identity Verification
Candidates are required to provide government-issued documentation such as a passport or driver’s licence to confirm their true identity.
Right to Work in the UK
Instajobs uses TrustID as a certified digital identity service provider (IDSP) to complete Right to Work checks that meet current Home Office standards, combining automated document checks with human expert review to confirm a candidate’s legal right to work in the UK.
What TrustID does in the Instajobs process
TrustID provides identity document validation technology (IDVT) that checks the authenticity of passports and other ID documents and verifies that the person presenting them is the genuine holder.
It performs biometric face matching and liveness checks by comparing a live selfie with the photo in the uploaded document to confirm the candidate is present and the identity matches.
TrustID is a government‑certified IDSP under the UK Digital Identity and Attributes Trust Framework for Right to Work and DBS checks, so Instajobs can rely on its reports to help establish a statutory excuse against illegal working penalties.
How a candidate’s Right to Work check works
Instajobs sends the candidate a secure TrustID link or QR code (a “guest link”) so they can upload images of their ID document (for example, a UK or Irish biometric passport) and take a real‑time selfie on their own device.
The images are transmitted over encrypted connections to TrustID’s cloud platform, where automated checks and trained document experts assess whether the documents are genuine and whether they give an unlimited or time‑limited Right to Work.
For eligible UK and Irish in‑date biometric passports, this can be a fully digital Right to Work check; for other statuses (for example, EU Settlement Scheme share codes or Biometric Residence Permits), TrustID can incorporate online Home Office share‑code information into the check.
What Instajobs receives and keeps on file
Once TrustID has completed its review, it returns a clear pass/fail outcome plus any restrictions (for example, visa end dates) in a PDF status report to the employer’s secure dashboard or integrated HR/ATS system.
This PDF report includes images of the document, a likeness image, and the verification result, and can be stored in Instajobs’ records as evidence that a compliant Right to Work check has been carried out before the candidate starts work.
To follow up Digital RTW reports, our team conduct an Imposter Check to confirm the candidate matches the identity in the RTW report. This is completed in-person or video call.
Documentation images are stored by TrustID rather than on hiring managers’ devices, supporting data security and auditability while helping Instajobs demonstrate ongoing compliance if audited by the Home Office.
Benefits for Instajobs’ employers and candidates
The TrustID process is typically completed in minutes, with expert review available seven days a week from early morning to late evening, which helps Instajobs move candidates quickly from offer to start date.
Using a certified IDSP reduces the risk of fraudulent documents and illegal working, supporting Instajobs’ duty of care to clients and protecting them from significant civil penalties for non‑compliant checks.
Remote, mobile‑friendly checks mean candidates can complete their Right to Work validation from anywhere, which is particularly helpful for high‑volume, multi‑site or temporary recruitment where speed and flexibility are critical.
Employment History and References
At Instajobs, we use RefNow’s secure online platform to handle our reference checking process.
What this means
Faster decisions: Automated online referencing typically returns completed references within around 36 hours, helping you move from offer to start date much more quickly.
Less admin: RefNow sends requests, reminders, and collects responses for us, freeing consultants to focus on shortlisting and selection rather than chasing referees.
Stronger compliance: Built‑in identity checks, fraud detection, and GDPR‑compliant data handling support safer hiring, particularly in regulated sectors.
Better insight: Structured questionnaires and clear, downloadable reports give you consistent, evidence‑based insight into each candidate’s performance, reliability, and conduct.
Criminal Record Checks
Depending on the sector, roles may require a basic, standard, or enhanced Disclosure and Barring Service (DBS) check to identify previous convictions or risks.
Qualification and Professional Memberships
Academic degrees, professional licenses, and certifications are verified with relevant institutions or regulatory bodies, especially for specialised or statutory positions.
Additional and Sector-Specific Screening
Social Media Screening: We may review a candidate’s public social media for potential reputational risks, in compliance with UK GDPR requirements.
International Checks: For candidates with overseas employment or residence, additional checks are done to verify foreign credentials and criminal history.
Our Best Practice
Candidates are informed in writing about which checks will be conducted and must give formal consent.
The checks are uniformly applied to avoid bias, and data security. A candidate privacy is maintained throughout.
